ABOUT THE SESSION

Most SharePoint environments grew in all those years since SharePoint Online came out in 2011. Years of unchecked site creation, abandoned projects, stale content, and oversharing have left organizations with a content estate that’s expensive to store, risky to expose to AI, and painful to govern. We all have “that” Team that we have been a part of for 6 years, where we store documents, perhaps in a new folder, but never clean them up. “Yeah, we might need that one day…” That’s the thing we always say. But Copilot doesn’t know that a project ended in 2019 or that a contract expired three years ago.

In this session, we’ll walk through all the archiving options. Site-level archiving was released a long time ago, but it never fit with our permanent team lifecycle. With file-level archiving and the available APIs, we can ensure that Copilot and other agents are not grounded in old, stale data, and we can finally create an automated data governance lifecycle. This means not having to make manual judgment calls site by site, but running a repeatable, policy-driven process. Depending on the inactivity of a file or the author who left the company ages ago.
